Control who can access your leads

The leads access manager is a tool that gives Business Manager admins the flexibility to customise which people, CRM or partner business/agency can have the right to download leads. This tool will allow you to give any person who has a role on the Facebook Page associated with your lead ads, access to download your leads.

If you do not activate and customise the leads access manager, by default, only your Page admins are able to access leads information. In addition, by default, CRMs will receive notifications sent by Facebook. If you are comfortable with this default rule, then you do not need to enable this advanced feature.

If these default rules do not meet your needs or you are running lead ads in regions that have specific regulation requirements. We recommend that you customise your leads access permission using the leads access manager. For example, if you work with an agency who runs your lead ads from your Page and they are assigned a Page admin role, under default rule every employee of the agency that has Page admin could access your leads. Enable leads access manager

Before you can begin customising your leads access, you will need to activate the leads access manager. Bear in mind that only a Business Manager admin can take this action. If a Business Manager admin does not customise access, the default rule will apply and all Page admins will have the right to download leads.

In order to enable leads access manager:

  1. Go to your Business Manager settings.

    Note: You cannot manage leads access from your Facebook Page.
  2. Scroll to the bottom of the page and click the icon for lead access in the icon list on the left-hand side.
  3. Click Customise access in the message that appears.

After a business admin clicks the Customise Access button, our system will automatically assign leads access permission to all existing Page admins and CRMs, including Page admins in agency business. This means that everything will be configured identically to default rule; any existing integrated apps will continue to have access and receive real-time updates. You can edit permissions from here.

Please be aware that after you enable leads access manager, newly added people and newly added integrated CRMs will have no leads access permission until a Business Manager admin assigns permission to them. Newly added people will see an error message when downloading leads. Newly added CRMs will not receive real-time updates and you will see an error message in the lead ads testing tool.

Assign or remove access to your leads

After you enable the leads access manager, you can customise access to your leads. Bear in mind that if you remove access to your leads, the people you change permissions for won't be able to download the leads from your Page's publishing tools or Ads Manager.

To get started, look for the middle panel labelled ASSIGNED PEOPLE AND PARTNERS. Underneath you will see a list of people, or individuals with access to your leads, partners or partner businesses/agencies who have access to your leads or CRMs that use your leads.

  1. Go to your Business Manager settings.

    Note: You cannot manage leads access from your Facebook Page.
  2. Scroll to the bottom of the page and click the icon for Lead Access in the icon list on the left-hand side.
  3. If this is the first time you've used this feature, you'll need to click Customise access in the message that appears.

    If you have already activated this, look for the middle pane labelled ASSIGNED PEOPLE AND PARTNERS. Underneath you will see a list of People, or individuals with access to your leads, Partners or agencies who have access to your leads or CRMs that use your leads.

    Assigning leads access permission to people gives individuals access to your leads.

    Select the People tab. You should now see a list of people and their Page or business roles. Unless you've already used this feature to remove their permissions, Page admins have access to leads by default. All other Page roles won't have access to your leads unless you grant it.

    Change access

    • To assign access: Tick the box next to the people you'd like to assign access and then click Assign access.
    • To remove access: Tick the box next to the people you'd like to revoke access and then click Remove access.
    Partners

    Assigning leads access permission to a partner gives a partner business/agency the ability to assign leads access permission to its employees (i.e. people in this partner business/agency who have a Page role on your Page).

    Only the business that owns the Page can assign leads access permission to a partner business/agency. A shared Page will not appear in the partner business/agency's Business Manager settings Leads access tab until:

    1. It has been assigned Page admin top role.
    2. It has been assigned leads access permission.

    Change access

    Select the Partner tab. You should now see a list of partners and their access levels.

    • To assign access: Tick the box next to the people you'd like to assign access and then click Assign access.

      Note: Once you assign leads access permission to a partner business/agency, your Page will be displayed on the partner business/agency's Lead access page in its Business Manager settings, where they can then assign leads access permission to people in their business.

    • To remove access: Tick the box next to the people you'd like to revoke access and then click Remove access.

      Note: Removing leads access permission from a partner business/agency will remove all the leads access permissions of people under this partner business/agency. Also, the Page will no longer be displayed in this partner business/agency's Leads access page in its BM settings.

    CRMs

    The leads access permission of CRM controls whether Facebook will send out a notification that there is a new lead to that CRM. If you assign lead access to a CRM, it will receive leads updates from Facebook. The Page admin who subscribed to the CRM to Facebook's real-time updates (or notifications) must continue to have leads access permission, otherwise the CRMs will fail to retrieve leads data.

    If you are using your own CRM, please be aware that after receiving the real-time update, the CRM will use a user access token (UAT) or Page access token (PAT) to retrieve the leads data from Facebook. This data retrieval will fail if the people backing this UAT or PAT do not have leads access permission.

    Change access

    Select the CRM tab. You should now see a list of CRMs and their access levels.

    • To assign access: Tick the box next to the CRMs that you'd like to assign access and then click Assign access.
    • To remove access: Tick the box next to the CRMs that you'd like to revoke access and then click Remove access.

    After you revoke a CRM's access to leads, it will no longer receive leads updates from Facebook. If there are multiple accounts under this CRM that subscribed to these leads, all of them will stop receiving leads.

Restore permissions to default settings:

If you've customised access to leads in Business Manager, you can remove those changes at any time using Restore default access. If you choose to restore default access, Page admins and partners with the Page admin role will receive access to your leads and all other Page roles won't get access. Bear in mind that if you use this feature, any changes you've made to permissions in the past will be removed, and your settings will be restored to default.

  1. Go to your Business Manager settings.
  2. In the icon list on the left side, click .
  3. You should see a list of Pages. Select the Page that you want to manage leads access for.
  4. Near the top-right corner, click Restore default access. In the window that appears, click Restore default to confirm.

FAQs

1. I am a Business Manager admin of a business that owns the Page, why can't I see all the agency business in the Partner tab?

We only allow you to assign leads access permissions to partner businesses/agencies that have a Page admin role.

2. I am a Business Manager admin of a partner business/agency that the Page shared to – why can't I see the Page in the leads access Manager?

There are two possibilities:

Either leads access permissions are not customised on this Page.

OR

Leads access permissions are customised on this Page, but your agency business does not have leads access permission. Therefore, you cannot assign leads access permissions to employees in your business.

To fix this, contact the Business Manager admin of the Page and have them grant you partner permission in leads access manager.

3. I am trying to download my leads and received an error message: "Only Page admins can download leads. To download leads for this form, please contact your Page admin." What should I do?

If you see this error message, it means that leads access permission is not customised on this Page. Only Page admins can download leads. Please contact the Page admin or business admin to assign you a Page admin role.

4. I am trying to download my leads and received an error message: "You don't have permission to download leads for this Page. Contact the business admin to request leads access." What should I do?

If you see this error message, it means that a business admin has customised leads access permissions on this Page and you do not have this permission. Please contact business admin to assign you leads access permission.

5. I got an error message: "CRM access has been revoked from lead access manager." in the lead ads testing tool. What should I do?

If you see this error message, it means that a business admin has customised leads access permissions on this Page and this CRM does not have permission. Please contact business admin to assign this CRM with leads access permission.
